Privacy Policy
Effective 5 September 2026. Last updated 18 October 2026.
This Privacy Policy explains how TEACHNIQ (“TEACHNIQ”, “we”, “us”) collects, uses, discloses, and safeguards personal information when you use our learning-management platform and the websites, applications, and services that link to this policy (together, the “Service”).
TEACHNIQ is a multi-tenant platform: independent organizations (“Academies”) run their own branded learning sites on our infrastructure. When you use an Academy’s site, that Academy is the controller of the personal information you provide to it, and its own privacy notice governs how it uses that information. TEACHNIQ processes that information on the Academy’s behalf as a service provider / processor, and separately acts as a controller for limited operational data (such as platform-level account, billing, and security data).
Information we collect
Information you provide
- Account information: name, email address, password (stored only as a salted hash by our authentication provider), and, for staff users, role and Academy membership.
- Profile and learning content: profile details, course progress, assignment submissions, community posts and messages, reviews, and other content you create in the Service.
- Payment information: when you buy a course, bundle, or subscription, our payment processors collect and process your card or payment-method details directly. TEACHNIQ does not receive or store full card numbers; we retain only transaction metadata (amount, currency, status, last four digits, processor reference).
- Communications: messages you send to an Academy or to us, and support requests.
Information collected automatically
- Device and usage data: IP address, browser and device type, pages viewed, referring pages, and timestamps, used to operate, secure, and improve the Service.
- Cookies and similar technologies: strictly necessary cookies for authentication and security (including bot-protection challenges), and, where applicable, cookies to remember your preferences. We do not use advertising cookies.
- Sign-in security events: login attempts and the associated IP address and user agent, retained to detect and investigate abuse.
Information from third parties
- Single sign-on: if you sign in with Google, we receive your name, email address, and Google account identifier from Google to create or match your account.
- Cloud file import: if an Academy administrator chooses to import a video from Google Drive, Microsoft OneDrive, or Dropbox, we receive information from those services as described in “Google user data” below and in the equivalent terms of those providers.
Google user data
Some features rely on Google APIs. This section describes exactly what Google user data the Service accesses, and how it is used, stored, and shared.
Sign in with Google
If you authenticate with Google, we request only your basic profile (name, email address, and account identifier) to create or sign you into your TEACHNIQ account. We do not access any other Google data for sign-in.
Import a video from Google Drive
If an Academy administrator imports a course video from Google Drive, the Service uses the Google Picker and requests the drive.file scope. This scope grants TEACHNIQ access only to the specific file(s) the administrator selects in the Google Picker. It never touches the rest of the Google Drive account.
- What we access: the name, size, and byte content of the selected video file, plus a short-lived Google OAuth access token used to download it.
- How we use it: solely to transfer the selected file, one time, into the Academy’s video-hosting storage so it can be played back as course content.
- Storage and retention: the OAuth access token is held only in memory for the duration of the transfer and is never written to our database or logs. We do not retain a copy of the file in Google Drive form; after transfer, the resulting course video is stored and controlled by the Academy.
- Sharing: the file content is transmitted to our video-hosting sub-processor to create the course video. We do not sell this data, use it for advertising, or use it to train generalized AI/ML models.
TEACHNIQ’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. You can review or revoke TEACHNIQ’s access to your Google account at any time at myaccount.google.com/permissions.
How we use information
- To provide, maintain, and secure the Service and your account.
- To process payments, subscriptions, and invoices.
- To send transactional messages (sign-in, receipts, course and community notifications) and, where permitted, service updates.
- To monitor, prevent, and investigate fraud, abuse, and security incidents.
- To analyze usage in aggregate to improve features and performance.
- To comply with legal obligations and enforce our terms.
Legal bases (where applicable)
Where the GDPR or similar laws apply, we rely on: performance of a contract (operating your account and the Service); legitimate interests (security, abuse prevention, product improvement); consent (non-essential cookies, where used); and compliance with legal obligations.
How we share information
We share personal information only as follows:
- With the Academy whose site you use, and its authorized staff, so they can deliver their courses and community.
- With sub-processors who perform services for us under contract, including: cloud hosting and database/authentication, video hosting and delivery, file storage and CDN, bot-protection, payment processing, and transactional email. The current list is available on request from support@teachniq.com. Our cookie policy lists the cookies we set.
- For legal reasons: to comply with law, respond to lawful requests, or protect the rights, property, or safety of TEACHNIQ, our users, or the public.
- In a business transfer: as part of a merger, acquisition, financing, or sale of assets, subject to this policy.
We do not sell personal information and we do not use it for cross-context behavioral advertising.
International transfers
Our providers may process data in countries other than yours. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for such transfers.
Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, and thereafter only as required to comply with legal obligations, resolve disputes, and enforce agreements. Security event logs are kept for a limited period and then deleted or aggregated.
Security
We use technical and organizational measures including encryption in transit, hashed credentials, access controls and tenant isolation at the database level, and least-privilege API scopes. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights and choices
- Access, correction, deletion, portability: you may request these for data TEACHNIQ controls by contacting us. For data an Academy controls, contact that Academy; we will assist them as their processor.
- Withdraw consent: including revoking Google, Microsoft, or Dropbox access from those providers’ account settings.
- Marketing: you can opt out of non-essential email via the unsubscribe link; transactional messages will continue.
Depending on where you live, you may also have the right to appeal a decision or lodge a complaint with your data protection authority.
Children
The Service is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect their personal information. An Academy may permit younger learners under its own arrangements and parental consent; in that case the Academy is responsible for those requirements.
Changes to this policy
We may update this policy from time to time. Material changes will be posted on this page with a new effective date and, where appropriate, additional notice.
